MedFlow Terms of Service

Last updated: June 2026

1. Acceptance of Terms

1.1 Acceptance

By ticking the acceptance checkbox during doctor account registration, by booking an appointment, by using a doctor, receptionist, or administrator account, or by using MedFlow services, you agree to these Terms of Service.

This acceptance forms a binding contractual commitment between you and MedFlow.

1.2 Refusal of terms

If you do not accept these Terms, you must not create an account, book appointments, manage a clinic, access a doctor workspace, or use MedFlow.

2. Description of the Service

2.1 Nature of MedFlow

MedFlow is an Algerian SaaS platform for medical appointment booking and clinic management. It allows, in particular:

  • patients to search for doctors, book appointments, follow the digital queue, and leave reviews;
  • doctors to manage availability, appointments, queues, prescriptions, payments, subscriptions, and staff;
  • receptionists to access certain features delegated by a doctor;
  • MedFlow administrators to approve doctors, moderate reviews, manage payouts, and send communications.

2.2 Clinic module

A clinic module exists in the MedFlow database, but it is currently deactivated in the user interface. Features that are not activated do not create any service obligation until they are officially made available.

3. User Accounts & Eligibility

3.1 Patients

MedFlow does not require patients to create a persistent account. A patient record is created automatically at the time of booking, based on information provided during the reservation: first name, last name, phone number, and optionally email address, date of birth, and gender.

Patients are encouraged to be adults, or to use the platform with the consent of a parent, guardian, or legal representative.

3.2 Doctors

Doctors must be healthcare professionals authorized to practice in Algeria, provide accurate qualifications, and keep professional information up to date.

MedFlow may request verification documents (identity card, professional documents, bank document) before approving a doctor account.

3.3 Receptionists

Receptionists access MedFlow only upon invitation by a doctor, through a tokenized email link valid for 48 hours. Their access is limited to permissions defined by the doctor and the platform.

A receptionist may be linked to multiple doctors simultaneously. In this case, their permissions are defined independently for each doctor relationship.

3.4 Administrators

Administrators are internal members or representatives of MedFlow. They are subject to confidentiality, security, and internal-use rules.

4. Doctor Obligations

4.1 Accurate information

The doctor agrees to provide accurate, complete, and up-to-date information, including: name, specialty, clinic address and wilaya, working hours and real availability, contact information, and required professional identity and verification documents.

4.2 Schedule management

The doctor must maintain a reliable schedule, avoid misleading availability, process reschedule requests, and inform patients in case of cancellation or significant delay.

4.3 Professional conduct

The doctor agrees to use MedFlow in accordance with medical ethics, Algerian law, and patient rights. It is prohibited to use MedFlow to publish false information, manipulate reviews, redirect payments improperly, or access data without authorization.

5. Patient Obligations

5.1 Honest booking

The patient agrees to provide accurate information when booking an appointment (first name, last name, phone number).

5.2 Attendance and cancellation

The patient must attend at the scheduled time or cancel or reschedule in advance where possible. Abusive, repeated, or fraudulent bookings may result in suspension of access to the platform.

5.3 Reviews and comments

The patient must not publish fake reviews, defamatory comments, insults, threats, excessive medical data about others, or illegal content.

6. Pro Subscription Terms

6.1 Doctor Pro subscription

Doctors may subscribe to a Pro plan giving access to premium features, specifically:

  • live queue (digital waiting room);
  • advanced analytics and dashboards;
  • financial and operational reports;
  • digital medical prescription generator.

6.2 Billing, grace period, and expiration

The Pro subscription may be billed on a recurring basis according to the period displayed at subscription.

In case of failed payment or non-renewal, MedFlow applies a grace period of 3 days during which access to Pro features remains active. After this period, the subscription status transitions to "expired" and Pro features are suspended.

Possible subscription statuses are: active, pending, grace, expired, trial, frozen. MedFlow reserves the right to limit or suspend access in any of these states according to applicable policies.

6.3 No refund

Unless MedFlow decides otherwise commercially or mandatory applicable law requires otherwise, Pro subscription payments for digital services that have already been activated are non-refundable.

7. Deposit & Payment Terms

7.1 Online appointment deposit

Certain appointments booked online may require payment of a deposit. The amount is set by the doctor within the limits allowed by MedFlow.

The deposit applies only to online bookings made through the platform. Patients registered directly by a doctor or receptionist (walk-in patients) are not subject to the online deposit requirement.

7.2 Platform commission

MedFlow applies a 5% commission on each transaction processed through the platform.

7.3 Deposit refund policy

The refundable amount in case of cancellation depends on the custom cancellation policy configured by the doctor, which may provide for a full, partial, or no refund depending on the deadlines and conditions defined. This policy is displayed to the patient at the time of booking.

The deposit may be refunded or reassigned when the doctor cancels the appointment, cannot provide the consultation, or when a confirmed technical error prevents normal performance of the service.

7.4 Chargily Pay and manual payments

Electronic payments are processed through Chargily Pay, including CIB and Edahabia cards where available. Cash or CCP transfer payments are manual procedures handled offline and confirmed manually by the doctor or administrator.

Doctor payouts are initiated by the doctor via their wallet interface and processed manually each month by MedFlow administrators, subject to verification and compliance.

8. Medical Disclaimer

8.1 MedFlow is not a medical provider

MedFlow is a booking and management platform. MedFlow does not provide medical consultations, diagnoses, treatments, medical advice, or prescriptions.

8.2 Independent professionals

Doctors listed on MedFlow are independent professionals. They are solely responsible for their medical acts, advice, prescriptions, delays, availability, and relationship with their patients. MedFlow does not guarantee the outcome of a consultation or the medical quality of any act performed by a doctor.

9. Prescription Data

9.1 Client-side prescription generation

MedFlow may allow doctors to generate medical prescriptions as A5 PDF files containing, among other things, the patient name, medicines, dosages, and instructions.

Prescriptions are generated entirely on the doctor's device (browser or application) and downloaded directly. MedFlow does not store issued prescriptions on its servers.

9.2 Prescription templates

Only prescription templates (predefined medicine lists) configured by the doctor are saved in the MedFlow database. These templates do not constitute issued medical prescriptions.

9.3 Doctor responsibility

The doctor is solely responsible for the accuracy, appropriateness, legality, and medical safety of any prescription generated through MedFlow. MedFlow does not validate medicines, dosages, interactions, contraindications, or medical decisions.

10. Waiting Room & Queue

10.1 Live queue

MedFlow may provide a live queue system allowing patients to follow their position or estimated entry time.

10.2 Public queue code display

Public waiting room screens display only the patient's queue code (for example: `AB-M1`). No name, even partial, is displayed on screens accessible to the public.

This code is derived from the initials of the patient's first and last name, combined with a position number and session indicator.

By joining a queue through MedFlow, the patient consents to their initials forming the basis of their queue code, which is visible on waiting room screens.

10.3 Walk-in patients

Doctors and receptionists may register patients directly without a prior appointment (walk-in entry). These patients are added to the queue without having made an online booking or paid a deposit.

11. Reviews & Ratings

11.1 Review per appointment

A patient may leave a review or rating after an eligible appointment. MedFlow limits reviews to one review per appointment.

11.2 Moderation

Reviews are subject to approval by MedFlow administrators, who have authority to approve, reject, or hide a review. Possible review statuses are: pending, approved, rejected.

Doctors may reply to their reviews or delete them from their profile, but cannot change the moderation status of any review.

MedFlow may moderate reviews that are fake or fraudulent, defamatory, insulting or threatening, discriminatory, unrelated to the appointment experience, containing excessive personal or medical data, or contrary to law or these Terms.

11.3 No manipulation

Doctors, patients, or third parties must not buy, sell, manipulate, or create fake reviews.

12. Receptionist & Staff Access

12.1 Staff invitation

Doctors may invite receptionists or staff members through tokenized email links valid for 48 hours. These accounts have limited access, explicitly excluding: wallet and payouts, billing and subscription, doctor profile settings, and analytics and financial reports.

12.2 Multi-doctor association

A receptionist may be linked to multiple doctors, with permissions defined independently for each relationship.

12.3 Doctor responsibility

The doctor is responsible for the access granted to staff and for actions performed by accounts they invite, except in case of direct fault by MedFlow. The doctor must promptly remove or disable access for any staff member who leaves the clinic or should no longer access data.

13. Platform Availability & Offline Mode

13.1 Availability

MedFlow works to keep the platform available, secure, and performant. However, MedFlow does not guarantee continuous availability without interruption or error. Interruptions may occur due to maintenance, deployment, technical incidents, third-party providers, networks, hosting, or force majeure.

13.2 Offline mode

Some features may work offline or under unstable connection through local IndexedDB storage on the user's device. Offline synchronization is provided on a best-effort technical basis.

The application does not provide a built-in button to clear local data. Users wishing to delete local data may do so through their browser or application settings.

14. Platform Communications

14.1 Transactional notifications

MedFlow may send emails or SMS messages related to booking, appointment confirmation, reminders, reschedule requests, and payment receipts.

14.2 Administrative communications

MedFlow may send communications to all or part of its users (all users, patients, doctors, Pro doctors) for informational, maintenance, or announcement purposes. These communications may be sent by email or displayed as in-app notifications.

MedFlow does not currently provide an opt-out or unsubscribe mechanism for administrative platform communications.

15. Termination

15.1 Suspension or deletion

MedFlow may suspend, limit, or delete an account in case of: fraud, fake documents or qualifications, identity theft, abuse of the booking system, fake reviews, threatening or illegal behavior, violation of these Terms, or risk to platform or user security.

15.2 Effects of termination

After suspension or deletion, certain data may be retained where necessary for legal, financial, security, evidentiary, or dispute-resolution obligations.

16. Limitation of Liability

16.1 General limits

To the extent permitted by applicable law, MedFlow shall not be liable for indirect damages, loss of revenue, loss of data caused by a user, medical delays, medical decisions, doctor conduct, or temporary unavailability of the platform.

16.2 Third-party services

MedFlow is not responsible for interruptions, errors, or incidents caused by third-party providers such as Chargily Pay, Vercel, Neon.tech, Supabase, or Sender.net.

16.3 Medical data

MedFlow is not responsible for medical content entered or generated by a doctor, including prescriptions, dosages, instructions, or clinical decisions.

17. Governing Law

17.1 Applicable law

These Terms are governed by Algerian law.

17.2 Jurisdiction

Any dispute relating to MedFlow, use of the platform, or these Terms shall fall under the competent courts of Algiers, unless a mandatory rule provides otherwise.
